Position Purpose
The Administrative Assistant is the first point of contact for visitors, customers, and employees. They are responsible for creating a welcoming and professional atmosphere while efficiently handling administrative and miscellaneous tasks. Focuses on Creating Raving Fans, Internally and Externally. This position reports directly to the Director of Program Management.

While performing the duties of this job, the employee is constantly exposed to office noises (i.e., office machines, conversations, foot traffic). Also may occasionally be exposed to fumes or airborne particles, moving mechanical parts and vibration. The noise level in the work environment and job sites can be loud.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Position Type and Expected Hours of Work
Non-exempt, full-time office position. Overtime and weekend availability as needed. This position reports to the worksite daily.
Travel
This position requires local travel during the work shift. No overnight travel required.

- Warmly welcomes customers, visitors, and employees.
- Answers telephones, directs calls, takes messages and responds to company live chat in a timely manner.
- Maintains a clean and organized front desk area, ensuring it reflects a professional image of the organization.
- Signs in/out visitors.
- Works directly with the Marketing team on Company initiatives.
- Works with and facilitates communication with I.T department.
- Receives and distributes mail as appropriate.
- Compiles, copies, sorts, and files records of business activities (i.e., car insurance records, company certificates, business transactions, and other activities).
- Maintains records and coordinates activities related to the company drug and alcohol program.
- Executes the open and closing checklists.
- Maintains company calendar and runs company errands as requested. This will require driving on company time.
- Coordinates company activities (i.e., social events, lunches, and breakfasts).
- Sends out and tracks customer and employee-related surveys.
- Orders and maintains office, cleaning, and miscellaneous shop supplies.
- Be prepared to respond to emergency situations, to include following established protocols for safety and security.
- Additional job-related duties as assigned by supervisor or management.
Required Qualifications
- Valid WA driver’s license.
- Excellent communication skills (written & verbal).
- Proficient in Microsoft Suite, SharePoint; quick to learn new software.
- Strong interpersonal skills.
- Effective task prioritization and workflow management.
- Organized with attention to detail.
- Reliable follow-through.
- Self-motivated with minimal supervision.
- Able to pass background check and drug test.
